Teacher Setup

Once the student data is securely in the Static
Student Info.aps database, Teachers need to be
included for each record.

Selecting Teachers
Responsible for Assessment
I'm sorry to say that there is no easy way to
select teachers, but we've tried to make it as
painless as possible. Start by clicking on the
Select Teachers button on the right in the
Entry screen.
When you first open this screen, there will be
no teachers listed.
To add or subtract from your teacher
list, you will have to click the button
"Edit Teacher List" located at the bottom
left of the screen. That will take you to another
screen.
|
|
Create a list of Assessment
Teachers.
This is the screen to create a list of teachers
who will assess the students in the Standards.
To add a teacher click on the button
named "Add a Teacher". Remember to type the
first name in the "first" field and the last name
in the "last" field. (Include the subject for later
changes. If the subject is not listed, when you get
to that field, hit the backspace and type in the
name you want to assign for the class subject.)
To delete a teacher click first on
the teacher to be deleted, then click on
the "Delete a Teacher" button.
When you have completed the teacher list, click
on the button named "Make Teacher Copy".

Then click on the "Done Button." You will
be whisked back to the "Select a Teacher"
screen.
|

|
|
With Teachers already in
your list, you will now be able to select teachers
that correspond to the individual student or to an
alternate method using full
classes.
|
|
First Method: Individual
Method
Show all records. (button at the bottom of the
screen)
Start at desired grade and type in the class
name. i.e. 4A and 4B or 4-1 and 4-2.
Click on first open field under Teacher 1. A list
of your assessment teachers should appear.
Click on the teacher selected for this child.
Move to the next blank field and repeat the process
if another teacher will be involved in this
students assessment.
When finished with this child, move to the next
one repeating the steps above.
|
|
|
Second Method: Group Method
If you follow this process, you will be able to
save yourself a lot time in preparing the database
for collecting assessment data. The process is in
the form of buttons along the bottom of the Teacher
Selection screen.
However, this process requires great
attention. Although it could save a lot of
time, if you are not careful, it's possible to
corrupt the Teacher assignments which would make
you redo the data that gets corrupted. There is
little protection from doing the wrong thing by
mistake. So pay attention to detail.
|
|
|
Step 1
|
Find Grade - - Click on the
button and you'll see another screen
asking you to put the grade
(number) that you are going to
assign the teacher to. The Find feature
pauses until you insert a grade number and
click on continue. Then it brings
you back to the previous layout with all
the records for that particular class.
|
|
Step 2
|
Find Selected - - Before you
click on the next button "Find Selected",
you must first select those that
share a teacher. On the left side of each
record you see a box. If you click on the
box that will tell you that the record is
selected. Go through the grade and select
those that are in the class that shares
the same teacher. For example, if there
are two first grades, first find all 1st
graders and then select those that are in
one of the 1st grades by clicking on each
of the boxes clear to the left that
selects the record. After all students in
that class are selected, then click on
"Find Selected".
|
|
Step 3
|
Add to Group - - Go to the first
record and click on Class name. Once there
type in the name of this class that's
sharing the teacher. Could be something
like 4-A or 4-B. Then click on Add to
Group Then click on the open field
under Teacher1, selecting the appropriate
teacher. Once the teacher's name appears
in the box, then double click on that
name. With the curser in the name of the
teacher, click on the "Add to Group"
button. (The name should then appear in
each of the records where before there was
nothing.)
|
|
Step 4
|
Deselect all - - To finish the
process click on the "Deselect all"
button. All Students will be found and
deselected ready for you to put in the
next class.
|
|
Step 5
|
Repeat this process until all
students have been identified with a
teacher(s) and class name. There is room
for 4 teachers right now. It could be one
for reading, one for writing, one for
speaking and one for listening. I know
that the same teacher may teach all these.
Then the extra fields could be for those
that teach math, science or one of the
other assessments that will take place in
the future.
|
When you've completed the process, you can go back
to data entry by clicking on the last button named
"Back to Data Entry".
Congratulations, you've completed the process of
preparing the Static Student Info.aps. Next step,
choosing the Assessment Tools to be used for each
standard. Click on the T in the bottom left of the
navigation box to be transported to the Assessment
Tools.aps database.
