Importing data from Student Management Systems

If you are exporting data from a Student Management System like Sassy, or Mac School, or Win School or something similar, export data into these fields:

last

first

Middle

DOB

Grade Number

Gender

Ethnicity

migrant

mobility

ELL

Title1


You can also import data like student Identifying number into the User Defined Account.

 

 

Using a Spreadsheet.

A spreadsheet has been included in the Assessment folder. Just open it up in Excel or in Apple Works and fill in the information that you have. Once you have the data collected in there, you will have to save the data as a sylk (Excel file) or asci text file in Apple Works. These tab deliminated files will be imported directly into the Static Student Info.aps using the button at the bottom of the page.

To begin the import of your data, click on the button at the bottom of the page. You can only do this if you prepared the spreadsheet or exported data from your Student Management software.

Importing your data.

Once your spreadsheet or your exported data from your Student Management System is complete, you will need to import it to the Static Student Info.aps database. Make sure that you put the data file into the Assessment folder.

  1. Open the database "Static Student Info.aps",
  2. type in the password "office" and
  3. then from the window menu, come down to Static Student Info.aps.

It will ask for the name of the file that you just put in your folder. Choose that file and choose open or double click on the file name.

The screen shot above will be similar to what you will see. The names of the fields are on the right and the data is on the left. The arrows in the middle show that the data on the right will be coming into fields on the left. Most likely you will have to move the fields to match the data (notice that they don't match up in the illustration). You can manually move the fields on the right up or down to match the data on the left. You do that by clicking on the field and dragging to the corresponding line of the data. Make sure that you import the correct data into the correct field. To do that you MUST move the field to the corresponding data level and make sure the arrow is on. To make sure the arrow is on, just click in the middle between the data and corresponding field. To double check by looking at the next record, you can scan the records by clicking on the arrows at the bottom left of the screen. Also make sure that the "Add new records" radio button is selected. When all things are in order, check it once more and then click on "Import".

Finish the import.

When the next screen comes up, click on "OK". The records will be imported into the database and you will have completed this step in the preparation of the database. You should visibly check the database next to see that all records have been imported.
